DrilledIn is a small-team product in beta. This page explains what we collect, where it goes, and how to remove your data. If anything here is unclear, email info@sumantic.ai.
What we collect
Coaches: your email, name, facility, teaching profile (philosophy, communication style, favorite drills), and any lesson notes you record.
Students: your email (used to sign in and to aggregate plans across coaches), drill completions, post-round reflections, and the practice plans your coach assigns.
Lesson photos: coaches may attach up to 3 photos per lesson. Photos are stored in a private Google Cloud Storage bucket and served only via short-lived signed URLs to authorized viewers.
What goes to Claude (Anthropic)
To draft practice plans, we send your coach's teaching profile and the lesson notes for the student to Anthropic's Claude API. Past plans and completion history for that student are also included so the AI can adapt over time. Anthropic processes these requests per their own data policy.
Photo bytes are never sent to the AI. If a coach attaches photos to a lesson, only the count and storage paths are included in the AI prompt so the model knows a visual record exists. The image files themselves stay in Google Cloud Storage.
We use Resend to deliver coach magic-link sign-in emails and plan-ready notifications to students. Resend sees the recipient email and message content.
Logs
Server logs (Google Cloud Logging) capture request metadata and timing. Lesson notes, student notes, reflections, transcripts, email addresses, and phone numbers are redacted from log messages before write.
Retention & deletion
Coach-initiated deletion of a student: the student row is soft-deleted and hard-deleted 30 days later, along with their plans, completions, and reflections.
Student-initiated deletion of your own account: removes your sign-in identity and stops your plans from being grouped together. Your coaches keep the lesson notes and plans they created for you — under the law, the coach is the data controller for their roster, and deleting your sign-in does not erase their records. You can sign in again any time with the same email.
Backups: the database is backed up daily and backups are retained for 30 days.
